s a new school with no historical student data, we are experiencing a significant limitation with Phase 2 Compass in relation to accessing and reporting on future student information.
All enrolment information for our 2027 students has already been entered into Compass, including important information such as:
Language backgrounds
Medical conditions and health care requirements
Disabilities and additional learning needs
Other relevant student information required for planning and support.
However, this information cannot currently be exported or included in reports until students have officially commenced at the school.
This creates a significant operational challenge for a new school preparing to open. Without access to this information, we are unable to adequately prepare staff, classrooms and support arrangements ahead of students commencing. For example, we cannot identify students with medical conditions, communicate relevant health care requirements to staff or ensure appropriate support arrangements are in place before the first day of school.
The only current workaround is to export the future student enrolment information and manually re-enter the data into separate spreadsheets or registers, despite the information already being recorded in Compass.
This results in:
Significant duplication of administrative work and double handling.
Increased risk of human error and inaccurate reporting.
Additional time spent manually extracting and recording information that already exists within the system.
Difficulty ensuring staff are appropriately informed and prepared before students commence.
An inefficient process that is particularly challenging for new schools managing large cohorts of incoming students.
Requested improvement
We would like to understand whether future student information can be made available through reporting and export functionality prior to students commencing, particularly for schools establishing their initial student cohort.
Having the ability to generate reports and export relevant student information ahead of commencement would allow us to use Compass as the central source of information, avoid unnecessary duplication and ensure staff and students are appropriately prepared from day one.
